FW: EPF 19 Attendance – NL-IX and Open Peering
Dear Carolin, Thank you for your email and for taking the time to explain the application of the EPF attendance policy. First of all, we fully understand and respect the need to apply the rules consistently and fairly across all participants and sponsors. That said, we would like to provide some context from our side. NL-ix is sponsoring EPF for the third consecutive year, and our registration approach this year has been identical to that of previous years. In all prior editions, this has never resulted in any concerns or issues being raised. In fact, in 2024 it was not a problem for us to have an additional colleague attending through Open Peering alongside our sponsorship registrations, resulting in a total of five attendees. Last year, including the sponsorship registrations, we attended with four representatives. Given this history, the current interpretation comes as a surprise to us. We would therefore like to kindly request a one-time exception for EPF 2026. The registrations have already been completed, appointments during EPF 2026 and some travel and hotel arrangements have already been planned and booked based on our understanding of the participation model applied in previous years. As such, receiving this notification at this stage creates some practical difficulties. Should attendance beyond the four included sponsor registrations require an additional fee, we would be happy to pay the €500 registration fee per extra colleague referenced on the EPF registration website for a fifth and sixth participant. Looking ahead, we will of course take the clarified interpretation of the attendance policy into account when considering our participation and sponsorship plans for future editions. This means that organisations with multiple ASNs connected to one or more host IXPs are still limited to a maximum of four representatives in total. Separate entities belonging to the same parent organisation may be treated as a single entity for capacity limits.” As a Silver Sponsor, your sponsorship includes four attendees. Four representatives is also the maximum number of participants permitted per network under the general EPF attendance rules. Therefore, if NL-IX and Open Peering would like to attend with six representatives in total, it would be necessary to upgrade the sponsorship to Platinum, which would allow the additional attendees. If you would prefer to remain on the Silver Sponsorship, could you please let us know which four participants will attend the EPF and whose names we should remove from the registration list by Monday, 24 August, at the latest? Dear Carolin, Thank you for your response and for taking the time to consider our request. While we understand and respect EPF's intention to apply the participation terms consistently, we must admit we are disappointed by this outcome, particularly given the timing. Our registrations were submitted quite some time ago. Since then, travel arrangements, hotel bookings and customer meetings have already been planned and confirmed by our colleagues. The request to reduce our attendance comes only at a very late stage and even after the EPF meeting tool has already been opened by EPF itself. What we find difficult to understand is why this issue was not raised when the registrations were originally submitted. Had we been informed at that point, we would have had the opportunity to adjust our plans accordingly and avoid unnecessary costs and inconvenience. Instead, the financial and operational impact of this late decision is now entirely on our side. Given our continued support of EPF as a sponsor for the third consecutive year, and considering that a similar registration approach has never previously resulted in objections, we had hoped for a more flexible and pragmatic approach in this specific situation. We are not asking for a structural exception to the policy, but rather for reasonable consideration of the circumstances and timing surrounding this year's registrations. We would therefore like to kindly ask once more whether the EPF team would be willing to reconsider its position and provide a one-time accommodation for EPF 2026. Dear Carolin, While we appreciate and respect EPF's desire to apply its attendance policy consistently, we would like to raise a concern regarding the way this situation has developed. Following our registrations, we received formal registration approvals from EPF for six participants. Based on these approvals, our colleagues proceeded with their travel planning, booked flights and hotels, and scheduled meetings with customers, partners and industry peers during the event. Given these approvals, it is difficult for us to understand why this issue is only being raised now, several months after registration, formal approvals and after meeting tool was made available by EPF. Had this concern been brought to our attention when the registrations were submitted, we would have had the opportunity to adjust our plans accordingly and avoid unnecessary costs and inconvenience.
From our perspective, NL-ix and Open Peering acted in good faith based on approvals received directly from EPF this year and previous years. We therefore feel that the consequences of what appears to be a late review of the registrations are now being placed entirely on our side.
To provide complete transparency, we will attach copies of the formal approval confirmations received from EPF. Rather than continuing this discussion by email, we would welcome the opportunity to discuss the matter directly. We therefore propose a short call tomorrow to review the facts and explore a practical solution that works for all parties. We remain committed to respecting the clarified attendance policy going forward and will ensure that our registrations for future EPF editions fully align with the requirements communicated by EPF. Hi all the meeting tool only opened on Friday. Hence, they already knew at that time that attendance of 6 of them was disputed. While we understand and respect EPF's intention to apply the participation terms consistently, we must admit we are disappointed by this outcome, particularly given the timing.
Our registrations were submitted quite some time ago. Since then, travel arrangements, hotel bookings and customer meetings have already been planned and confirmed by our colleagues. The request to reduce our attendance comes only at a very late stage and even after the EPF meeting tool has already been opened by EPF itself.
What we find difficult to understand is why this issue was not raised when the registrations were originally submitted. Had we been informed at that point, we would have had the opportunity to adjust our plans accordingly and avoid unnecessary costs and inconvenience. Instead, the financial and operational impact of this late decision is now entirely on our side.
Given our continued support of EPF as a sponsor for the third consecutive year, and considering that a similar registration approach has never previously resulted in objections, we had hoped for a more flexible and pragmatic approach in this specific situation. We are not asking for a structural exception to the policy, but rather for reasonable consideration of the circumstances and timing surrounding this year's registrations.
We would therefore like to kindly ask once more whether the EPF team would be willing to reconsider its position and provide a one-time accommodation for EPF 2026. We are, of course, willing to ensure that all future registrations fully comply with the clarified interpretation of the attendance rules and commit to taking this into account when planning for EPF 2027.

Thank you for your email and for taking the time to explain the application of the EPF attendance policy.
First of all, we fully understand and respect the need to apply the rules consistently and fairly across all participants and sponsors.
That said, we would like to provide some context from our side. NL-ix is sponsoring EPF for the third consecutive year, and our registration approach this year has been identical to that of previous years. In all prior editions, this has never resulted in any concerns or issues being raised.
In fact, in 2024 it was not a problem for us to have an additional colleague attending through Open Peering alongside our sponsorship registrations, resulting in a total of five attendees. Last year, including the sponsorship registrations, we attended with four representatives. Given this history, the current interpretation comes as a surprise to us.
We would therefore like to kindly request a one-time exception for EPF 2026. The registrations have already been completed, appointments during EPF 2026 and some travel and hotel arrangements have already been planned and booked based on our understanding of the participation model applied in previous years. As such, receiving this notification at this stage creates some practical difficulties. Should attendance beyond the four included sponsor registrations require an additional fee, we would be happy to pay the €500 registration fee per extra colleague referenced on the EPF registration website for a fifth and sixth participant.
Looking ahead, we will of course take the clarified interpretation of the attendance policy into account when considering our participation and sponsorship plans for future editions.
We greatly value EPF and our long-standing involvement in the community, and we hope that a practical solution can be found for this year's event.

Following a review of the EPF registrations, we received a note regarding the registrations from NL-IX and Open Peering. As both entities belong to the same parent organisation, Broadband Hosting B.V., we need to apply the EPF attendance policy accordingly.
_The relevant rule states:_
“The attendance limit applies per organisation, not per ASN. This means that organisations with multiple ASNs connected to one or more host IXPs are still limited to a maximum of four representatives in total. Separate entities belonging to the same parent organisation may be treated as a single entity for capacity limits.”
As a Silver Sponsor, your sponsorship includes four attendees. Four representatives is also the maximum number of participants permitted per network under the general EPF attendance rules.
Therefore, if NL-IX and Open Peering would like to attend with six representatives in total, it would be necessary to upgrade the sponsorship to Platinum, which would allow the additional attendees.
If you would prefer to remain on the Silver Sponsorship, could you please let us know which four participants will attend the EPF and whose names we should remove from the registration list *by Monday, 24 August, at the latest?*
We fully appreciate that this may be inconvenient, and we hope you understand that we need to apply the rules consistently to ensure a fair and balanced event for all participants and sponsors.

Although I think that rules are rules, I do get their point about them getting the confirmations months ago and they’ve made travel arrangements. I would say different it we only just accepted them. I think in this occasion we have to let them come. But, how can we avoid this in the future? We don't know who’s who and what companies are linked? Registration takes a lot of time and logistics anyway! While we understand and respect EPF's intention to apply the participation terms consistently, we must admit we are disappointed by this outcome, particularly given the timing.
Our registrations were submitted quite some time ago. Since then, travel arrangements, hotel bookings and customer meetings have already been planned and confirmed by our colleagues. The request to reduce our attendance comes only at a very late stage and even after the EPF meeting tool has already been opened by EPF itself.
What we find difficult to understand is why this issue was not raised when the registrations were originally submitted. Had we been informed at that point, we would have had the opportunity to adjust our plans accordingly and avoid unnecessary costs and inconvenience. Instead, the financial and operational impact of this late decision is now entirely on our side.
Given our continued support of EPF as a sponsor for the third consecutive year, and considering that a similar registration approach has never previously resulted in objections, we had hoped for a more flexible and pragmatic approach in this specific situation. We are not asking for a structural exception to the policy, but rather for reasonable consideration of the circumstances and timing surrounding this year's registrations.
We would therefore like to kindly ask once more whether the EPF team would be willing to reconsider its position and provide a one-time accommodation for EPF 2026. We are, of course, willing to ensure that all future registrations fully comply with the clarified interpretation of the attendance rules and commit to taking this into account when planning for EPF 2027.
We greatly value our relationship with EPF and hope that a mutually acceptable solution can still be found.

For 2027ff, we plan to automate registration as much as possible. A tool would have easily detected that NL-ix and Open Peering both are brands of Broadband Hosting B.V. What we find difficult to understand is why this issue was not raised when the registrations were originally submitted. Had we been informed at that point, we would have had the opportunity to adjust our plans accordingly and avoid unnecessary costs and inconvenience. Instead, the financial and operational impact of this late decision is now entirely on our side.
Given our continued support of EPF as a sponsor for the third consecutive year, and considering that a similar registration approach has never previously resulted in objections, we had hoped for a more flexible and pragmatic approach in this specific situation. We are not asking for a structural exception to the policy, but rather for reasonable consideration of the circumstances and timing surrounding this year's registrations.
We would therefore like to kindly ask once more whether the EPF team would be willing to reconsider its position and provide a one-time accommodation for EPF 2026. That said, we would like to provide some context from our side. NL-ix is sponsoring EPF for the third consecutive year, and our registration approach this year has been identical to that of previous years. In all prior editions, this has never resulted in any concerns or issues being raised.
In fact, in 2024 it was not a problem for us to have an additional colleague attending through Open Peering alongside our sponsorship registrations, resulting in a total of five attendees. Last year, including the sponsorship registrations, we attended with four representatives. Given this history, the current interpretation comes as a surprise to us.
We would therefore like to kindly request a one-time exception for EPF 2026. The registrations have already been completed, appointments during EPF 2026 and some travel and hotel arrangements have already been planned and booked based on our understanding of the participation model applied in previous years. As such, receiving this notification at this stage creates some practical difficulties. Should attendance beyond the four included sponsor registrations require an additional fee, we would be happy to pay the €500 registration fee per extra colleague referenced on the EPF registration website for a fifth and sixth participant.
Looking ahead, we will of course take the clarified interpretation of the attendance policy into account when considering our participation and sponsorship plans for future editions.
We greatly value EPF and our long-standing involvement in the community, and we hope that a practical solution can be found for this year's event.

Following a review of the EPF registrations, we received a note regarding the registrations from NL-IX and Open Peering. As both entities belong to the same parent organisation, Broadband Hosting B.V., we need to apply the EPF attendance policy accordingly.
_The relevant rule states:_
“The attendance limit applies per organisation, not per ASN. This means that organisations with multiple ASNs connected to one or more host IXPs are still limited to a maximum of four representatives in total. Separate entities belonging to the same parent organisation may be treated as a single entity for capacity limits.”
As a Silver Sponsor, your sponsorship includes four attendees. Four representatives is also the maximum number of participants permitted per network under the general EPF attendance rules.
Therefore, if NL-IX and Open Peering would like to attend with six representatives in total, it would be necessary to upgrade the sponsorship to Platinum, which would allow the additional attendees.
If you would prefer to remain on the Silver Sponsorship, could you please let us know which four participants will attend the EPF and whose names we should remove from the registration list *by Monday, 24 August, at the latest?*

In fact, in 2024 it was not a problem for us to have an additional colleague attending through Open Peering alongside our sponsorship registrations, resulting in a total of five attendees. Last year, including the sponsorship registrations, we attended with four representatives. Given this history, the current interpretation comes as a surprise to us.
We would therefore like to kindly request a one-time exception for EPF 2026. The registrations have already been completed, appointments during EPF 2026 and some travel and hotel arrangements have already been planned and booked based on our understanding of the participation model applied in previous years. As such, receiving this notification at this stage creates some practical difficulties. Should attendance beyond the four included sponsor registrations require an additional fee, we would be happy to pay the €500 registration fee per extra colleague referenced on the EPF registration website for a fifth and sixth participant.
Looking ahead, we will of course take the clarified interpretation of the attendance policy into account when considering our participation and sponsorship plans for future editions.
We greatly value EPF and our long-standing involvement in the community, and we hope that a practical solution can be found for this year's event.

Following a review of the EPF registrations, we received a note regarding the registrations from NL-IX and Open Peering. As both entities belong to the same parent organisation, Broadband Hosting B.V., we need to apply the EPF attendance policy accordingly.
_The relevant rule states:_
“The attendance limit applies per organisation, not per ASN. This means that organisations with multiple ASNs connected to one or more host IXPs are still limited to a maximum of four representatives in total. Separate entities belonging to the same parent organisation may be treated as a single entity for capacity limits.”
As a Silver Sponsor, your sponsorship includes four attendees. Four representatives is also the maximum number of participants permitted per network under the general EPF attendance rules.
Therefore, if NL-IX and Open Peering would like to attend with six representatives in total, it would be necessary to upgrade the sponsorship to Platinum, which would allow the additional attendees.
If you would prefer to remain on the Silver Sponsorship, could you please let us know which four participants will attend the EPF and whose names we should remove from the registration list *by Monday, 24 August, at the latest?*

While we understand and respect EPF's intention to apply the participation terms consistently, we must admit we are disappointed by this outcome, particularly given the timing.
Our registrations were submitted quite some time ago. Since then, travel arrangements, hotel bookings and customer meetings have already been planned and confirmed by our colleagues. The request to reduce our attendance comes only at a very late stage and even after the EPF meeting tool has already been opened by EPF itself.
What we find difficult to understand is why this issue was not raised when the registrations were originally submitted. Had we been informed at that point, we would have had the opportunity to adjust our plans accordingly and avoid unnecessary costs and inconvenience. Instead, the financial and operational impact of this late decision is now entirely on our side.
Given our continued support of EPF as a sponsor for the third consecutive year, and considering that a similar registration approach has never previously resulted in objections, we had hoped for a more flexible and pragmatic approach in this specific situation. We are not asking for a structural exception to the policy, but rather for reasonable consideration of the circumstances and timing surrounding this year's registrations.
We would therefore like to kindly ask once more whether the EPF team would be willing to reconsider its position and provide a one-time accommodation for EPF 2026. We are, of course, willing to ensure that all future registrations fully comply with the clarified interpretation of the attendance rules and commit to taking this into account when planning for EPF 2027.
We greatly value our relationship with EPF and hope that a mutually acceptable solution can still be found.

Following our registrations, we received formal registration approvals from EPF for six participants. While we understand and respect EPF's intention to apply the participation terms consistently, we must admit we are disappointed by this outcome, particularly given the timing.
Our registrations were submitted quite some time ago. Since then, travel arrangements, hotel bookings and customer meetings have already been planned and confirmed by our colleagues. The request to reduce our attendance comes only at a very late stage and even after the EPF meeting tool has already been opened by EPF itself.
What we find difficult to understand is why this issue was not raised when the registrations were originally submitted. Had we been informed at that point, we would have had the opportunity to adjust our plans accordingly and avoid unnecessary costs and inconvenience. Instead, the financial and operational impact of this late decision is now entirely on our side.
Given our continued support of EPF as a sponsor for the third consecutive year, and considering that a similar registration approach has never previously resulted in objections, we had hoped for a more flexible and pragmatic approach in this specific situation. We are not asking for a structural exception to the policy, but rather for reasonable consideration of the circumstances and timing surrounding this year's registrations.
We would therefore like to kindly ask once more whether the EPF team would be willing to reconsider its position and provide a one-time accommodation for EPF 2026. We are, of course, willing to ensure that all future registrations fully comply with the clarified interpretation of the attendance rules and commit to taking this into account when planning for EPF 2027.
We greatly value our relationship with EPF and hope that a mutually acceptable solution can still be found.

First of all, we fully understand and respect the need to apply the rules consistently and fairly across all participants and sponsors.
That said, we would like to provide some context from our side. NL-ix is sponsoring EPF for the third consecutive year, and our registration approach this year has been identical to that of previous years. In all prior editions, this has never resulted in any concerns or issues being raised.
In fact, in 2024 it was not a problem for us to have an additional colleague attending through Open Peering alongside our sponsorship registrations, resulting in a total of five attendees. Last year, including the sponsorship registrations, we attended with four representatives. Given this history, the current interpretation comes as a surprise to us.
We would therefore like to kindly request a one-time exception for EPF 2026. The registrations have already been completed, appointments during EPF 2026 and some travel and hotel arrangements have already been planned and booked based on our understanding of the participation model applied in previous years. As such, receiving this notification at this stage creates some practical difficulties. Should attendance beyond the four included sponsor registrations require an additional fee, we would be happy to pay the €500 registration fee per extra colleague referenced on the EPF registration website for a fifth and sixth participant.
Looking ahead, we will of course take the clarified interpretation of the attendance policy into account when considering our participation and sponsorship plans for future editions.
We greatly value EPF and our long-standing involvement in the community, and we hope that a practical solution can be found for this year's event.

Following a review of the EPF registrations, we received a note regarding the registrations from NL-IX and Open Peering. As both entities belong to the same parent organisation, Broadband Hosting B.V., we need to apply the EPF attendance policy accordingly.
_The relevant rule states:_
“The attendance limit applies per organisation, not per ASN. This means that organisations with multiple ASNs connected to one or more host IXPs are still limited to a maximum of four representatives in total. Separate entities belonging to the same parent organisation may be treated as a single entity for capacity limits.”
As a Silver Sponsor, your sponsorship includes four attendees. Four representatives is also the maximum number of participants permitted per network under the general EPF attendance rules.
Therefore, if NL-IX and Open Peering would like to attend with six representatives in total, it would be necessary to upgrade the sponsorship to Platinum, which would allow the additional attendees.
If you would prefer to remain on the Silver Sponsorship, could you please let us know which four participants will attend the EPF and whose names we should remove from the registration list *by Monday, 24 August, at the latest?*
We fully appreciate that this may be inconvenient, and we hope you understand that we need to apply the rules consistently to ensure a fair and balanced event for all participants and sponsors.

While we understand and respect EPF's intention to apply the participation terms consistently, we must admit we are disappointed by this outcome, particularly given the timing.
Our registrations were submitted quite some time ago. Since then, travel arrangements, hotel bookings and customer meetings have already been planned and confirmed by our colleagues. The request to reduce our attendance comes only at a very late stage and even after the EPF meeting tool has already been opened by EPF itself.
What we find difficult to understand is why this issue was not raised when the registrations were originally submitted. Had we been informed at that point, we would have had the opportunity to adjust our plans accordingly and avoid unnecessary costs and inconvenience. Instead, the financial and operational impact of this late decision is now entirely on our side.
Given our continued support of EPF as a sponsor for the third consecutive year, and considering that a similar registration approach has never previously resulted in objections, we had hoped for a more flexible and pragmatic approach in this specific situation. We are not asking for a structural exception to the policy, but rather for reasonable consideration of the circumstances and timing surrounding this year's registrations.
We would therefore like to kindly ask once more whether the EPF team would be willing to reconsider its position and provide a one-time accommodation for EPF 2026. We are, of course, willing to ensure that all future registrations fully comply with the clarified interpretation of the attendance rules and commit to taking this into account when planning for EPF 2027.
We greatly value our relationship with EPF and hope that a mutually acceptable solution can still be found.

That said, we would like to provide some context from our side. NL-ix is sponsoring EPF for the third consecutive year, and our registration approach this year has been identical to that of previous years. In all prior editions, this has never resulted in any concerns or issues being raised.
In fact, in 2024 it was not a problem for us to have an additional colleague attending through Open Peering alongside our sponsorship registrations, resulting in a total of five attendees. Last year, including the sponsorship registrations, we attended with four representatives. Given this history, the current interpretation comes as a surprise to us.
We would therefore like to kindly request a one-time exception for EPF 2026. The registrations have already been completed, appointments during EPF 2026 and some travel and hotel arrangements have already been planned and booked based on our understanding of the participation model applied in previous years. As such, receiving this notification at this stage creates some practical difficulties. Should attendance beyond the four included sponsor registrations require an additional fee, we would be happy to pay the €500 registration fee per extra colleague referenced on the EPF registration website for a fifth and sixth participant.
Looking ahead, we will of course take the clarified interpretation of the attendance policy into account when considering our participation and sponsorship plans for future editions.
We greatly value EPF and our long-standing involvement in the community, and we hope that a practical solution can be found for this year's event.

Following a review of the EPF registrations, we received a note regarding the registrations from NL-IX and Open Peering. As both entities belong to the same parent organisation, Broadband Hosting B.V., we need to apply the EPF attendance policy accordingly.
_The relevant rule states:_
“The attendance limit applies per organisation, not per ASN. This means that organisations with multiple ASNs connected to one or more host IXPs are still limited to a maximum of four representatives in total. Separate entities belonging to the same parent organisation may be treated as a single entity for capacity limits.”
As a Silver Sponsor, your sponsorship includes four attendees. Four representatives is also the maximum number of participants permitted per network under the general EPF attendance rules.
Therefore, if NL-IX and Open Peering would like to attend with six representatives in total, it would be necessary to upgrade the sponsorship to Platinum, which would allow the additional attendees.
If you would prefer to remain on the Silver Sponsorship, could you please let us know which four participants will attend the EPF and whose names we should remove from the registration list *by Monday, 24 August, at the latest?*
We fully appreciate that this may be inconvenient, and we hope you understand that we need to apply the rules consistently to ensure a fair and balanced event for all participants and sponsors.

* In line with the attendance limit of four representatives per organisation, four of the six will have access to MEET and 1-1 meetings.
* The remaining two colleagues are welcome to join the conference programme, coffee breaks, the social events and the networking areas, but will not have a MEET account or 1-1 meeting slots.
In practice this requires no change on your side. Four of your colleagues have already activated their MEET accounts, and those four keep full access, including any meetings they have already arranged. We will de-activate MEET for the remaining two. If you would prefer a different combination of four, please let us know by Friday, 28 August 2026, 12:00 CEST and we will arrange it.
We would ask you to treat this as a one-time accommodation for this edition rather than a precedent, and we note and appreciate your commitment to aligning future registrations with the clarified policy from EPF 2027 onwards.

While we understand and respect EPF's intention to apply the participation terms consistently, we must admit we are disappointed by this outcome, particularly given the timing.
Our registrations were submitted quite some time ago. Since then, travel arrangements, hotel bookings and customer meetings have already been planned and confirmed by our colleagues. The request to reduce our attendance comes only at a very late stage and even after the EPF meeting tool has already been opened by EPF itself.
What we find difficult to understand is why this issue was not raised when the registrations were originally submitted. Had we been informed at that point, we would have had the opportunity to adjust our plans accordingly and avoid unnecessary costs and inconvenience. Instead, the financial and operational impact of this late decision is now entirely on our side.
Given our continued support of EPF as a sponsor for the third consecutive year, and considering that a similar registration approach has never previously resulted in objections, we had hoped for a more flexible and pragmatic approach in this specific situation. We are not asking for a structural exception to the policy, but rather for reasonable consideration of the circumstances and timing surrounding this year's registrations.
We would therefore like to kindly ask once more whether the EPF team would be willing to reconsider its position and provide a one-time accommodation for EPF 2026. We are, of course, willing to ensure that all future registrations fully comply with the clarified interpretation of the attendance rules and commit to taking this into account when planning for EPF 2027.
We greatly value our relationship with EPF and hope that a mutually acceptable solution can still be found.

First of all, we fully understand and respect the need to apply the rules consistently and fairly across all participants and sponsors.
That said, we would like to provide some context from our side. NL-ix is sponsoring EPF for the third consecutive year, and our registration approach this year has been identical to that of previous years. In all prior editions, this has never resulted in any concerns or issues being raised.
In fact, in 2024 it was not a problem for us to have an additional colleague attending through Open Peering alongside our sponsorship registrations, resulting in a total of five attendees. Last year, including the sponsorship registrations, we attended with four representatives. Given this history, the current interpretation comes as a surprise to us.
We would therefore like to kindly request a one-time exception for EPF 2026. The registrations have already been completed, appointments during EPF 2026 and some travel and hotel arrangements have already been planned and booked based on our understanding of the participation model applied in previous years. As such, receiving this notification at this stage creates some practical difficulties. Should attendance beyond the four included sponsor registrations require an additional fee, we would be happy to pay the €500 registration fee per extra colleague referenced on the EPF registration website for a fifth and sixth participant.
Looking ahead, we will of course take the clarified interpretation of the attendance policy into account when considering our participation and sponsorship plans for future editions.
We greatly value EPF and our long-standing involvement in the community, and we hope that a practical solution can be found for this year's event.

Following a review of the EPF registrations, we received a note regarding the registrations from NL-IX and Open Peering. As both entities belong to the same parent organisation, Broadband Hosting B.V., we need to apply the EPF attendance policy accordingly.
_The relevant rule states:_
“The attendance limit applies per organisation, not per ASN. This means that organisations with multiple ASNs connected to one or more host IXPs are still limited to a maximum of four representatives in total. Separate entities belonging to the same parent organisation may be treated as a single entity for capacity limits.”
As a Silver Sponsor, your sponsorship includes four attendees. Four representatives is also the maximum number of participants permitted per network under the general EPF attendance rules.
Therefore, if NL-IX and Open Peering would like to attend with six representatives in total, it would be necessary to upgrade the sponsorship to Platinum, which would allow the additional attendees.
If you would prefer to remain on the Silver Sponsorship, could you please let us know which four participants will attend the EPF and whose names we should remove from the registration list *by Monday, 24 August, at the latest?*
We fully appreciate that this may be inconvenient, and we hope you understand that we need to apply the rules consistently to ensure a fair and balanced event for all participants and sponsors.
